How to Plan Cleaning for a Multi-Building Office Campus

On an office campus, organize cleaning around tenant arrival and circulation rather than around building numbers. Entrances, glass, garages, and the walkways between them are what people experience daily; rear elevations are not. Organize Around Arrival and Circulation

A campus is not a collection of separate buildings from a tenant's point of view. It is a route: park or arrive, cross a lot or a garage, walk a path, enter a building, and repeat some version of that at lunch and again at the end of the day.

Everything on that route is judged daily by every person on site. Everything off it is judged rarely. A campus cleaning plan organized by building treats a rear elevation nobody walks past the same as the main entry plaza, which is how properties end up with a shabby front door and a spotless service yard.

The alternative is to zone by function: arrival zones, circulation zones, building envelope, service areas, and amenity spaces, then set frequency by how much each is seen and used rather than by which building it belongs to.

This also makes the budget conversation easier. It is straightforward to explain why the entry plaza is on a quarterly cycle and the rear elevation is on a three-year one.

Campus Assessment: Entrances, Glass, Garages, Walkways, Materials

Entrances and canopies. The highest-visibility zone on the campus. Glass, door frames, canopy soffits, entry hardscape, and the immediate surrounds. Judged daily and photographed for marketing.

Glass and curtain wall. Shows soil immediately and is the strongest single signal of how a property is maintained. Also the zone where tenants complain first.

Parking garages and decks. Usually the worst-condition asset on a campus and the one that receives the least attention. Tire rubber, oil, salt residue, efflorescence on the deck soffits, stained stair towers, and poor lighting made worse by grime on the fixtures. Stair towers and elevator lobbies in garages are pedestrian spaces and should be treated as such.

Walkways and plazas. The circulation network. Slip risk in shaded sections, gum and stain accumulation at gathering points, and joint growth in paved areas.

Surface parking. Large area, moderate soiling, high visibility from the buildings above.

Building envelope. Material varies by campus vintage: precast, curtain wall, metal panel, brick, EIFS. Note which elevations are shaded, because those carry the biological growth.

Amenity and outdoor space. Courtyards, seating areas, fitness entrances, food service frontage. Increasingly a leasing differentiator and worth its own interval.

Service areas. Loading, trash, mechanical yards. Low visibility, condition-driven interval.

The high glass row is where cost concentrates on most campuses. Access method drives it, and on a campus with open ground around the buildings, lift access is usually available, which makes it a straightforward comparison. Build a Recurring Plan Around Occupancy and Events

Set frequency per zone, not per campus. A reasonable starting frame: entrances and glass on a quarterly to semi-annual cycle, walkways and plazas semi-annually, garage decks annually, shaded envelope elevations annually to biennially, rear and service elevations every two to three years.

Schedule against tenant arrival. Entry and walkway work happens before tenants arrive or after they leave, not at 10 AM.

Respect the event calendar. Campuses host tenant events, client visits, and tours. Get the calendar and work around it, and use it: finishing the entry plaza the week before a major tenant event is worth more than doing it on an arbitrary date.

Coordinate with parking demand. Garage and lot work releases spaces, and on a campus at capacity that is a real constraint. Release in small blocks and restore before the evening.

Sequence across buildings so no building is under disruption twice in one cycle.

Build in weather buffer, particularly for glass and elevated work.

Coordinate Crews, Occupants, Vehicles, and Access Routes

  • Tenant notice by building, one week out with a 48-hour reminder, naming the zones and hours
  • A campus-wide notice for anything affecting shared circulation or parking
  • Pedestrian routing plans for each walkway closure, signed on the day
  • Parking release schedule communicated in advance, with alternate areas named
  • Coordination with shuttle or transit stops, if the campus has them
  • Loading dock and delivery windows protected
  • Security and access control briefed on early-morning or overnight work, including badge and gate arrangements
  • A single named contact per building plus one for the campus
  • Landscape vendor coordination, so mowing and mulching do not collide with or undo hardscape work
  • Daily restoration: walkways clear and dry, parking released, equipment staged out of circulation overnight

  • What documentation do we receive per zone, per visit?
  • What is the rain-delay policy, and how are tenants renotified?
  • Which zones will not fully clean, and why?
  • Is there a pricing advantage to a recurring program over one-off visits?

The mobilization question is worth asking directly. A campus priced as one continuous mobilization is cheaper than one priced as four phases, and the four-phase version is frequently what the occupancy constraints actually require.
